Sahel EDU

Software for head teachers: what you see and decide every day

A primary school head teacher juggles the playground, the classrooms, the cash desk and the parents, often without a secretary. This page starts from that real day, then shows screen by screen what Sahel EDU puts in front of the head and what it leaves to the head to decide. It also says what the software does not do in the head’s place.

A head teacher’s day: from the playground to the cash desk

In a nursery or primary school, the head teacher is often the first to arrive and the last to leave. In the morning the head notes who is missing, among pupils and among teachers, and reorganises classes if needed. During the day the head receives parents, watches the money coming in and signs certificates. In the evening, the lists and reports that the authorities ask for have to be prepared.

In a small school the head is also the secretary and the bursar: that overlap is what wears people out. Software does not replace the head teacher; it replaces the copying.

  • Knowing first thing in the morning which classes have taken the register and which absences are still unexplained.
  • Knowing what each family still owes without reopening several notebooks.
  • Gathering each teacher’s marks to prepare report cards or competency books.
  • Answering a parent who asks for a receipt, a balance or a child’s results.
  • Producing the reports and the start-of-term status report on time.

What the head teacher sees on signing in

The head teacher has the widest profile: the whole school is visible, and only the head sets its settings. The first page, “Dashboard”, adapts to the role; the “Overview” screen adds the state of the day.

Because the head’s rights are wide, signing in is protected by compulsory two-factor authentication (Google Authenticator), with an 8-hour session.

  • “Overview”: today’s attendance, the absentees, the lessons under way and those finished without a register, and the unexcused absences of the last 30 days.
  • “Overview”: how far mark entry has progressed, class by class, and the marks already validated.
  • “Overview”: money collected, the balance due and the families in arrears.
  • “Management”: enrolment, overall average, attendance, success rate, the list of unpaid fees and the withheld report cards.
  • “To do”: what is waiting for the signed-in person, with the total shown as a badge.
  • A live signal when a lesson has started and the teacher has not clocked in, if QR Code clock-in is used.

Results: from the teacher to the report card, without copying

Each teacher enters marks once, from a phone. The head opens “Validation”: it lists the classes still being entered and those ready to validate, and the head validates class by class. A validated mark can no longer be edited; it is corrected with a written reason, and the correction stays on record.

For nursery and primary classes, the school can keep a competency book: levels NA, ECA and A, with a mark and a remark for each competency. The wording of the competencies is not supplied: the head enters the competencies aimed at, following the school’s syllabus. Collective promotion within a primary sub-cycle, and repeating a year at the parent’s request, are handled.

Results stay hidden from families until the head has published the term, after the paper report card has been handed over. The head chooses the moment.

  • A class’s report cards in a single PDF, one page per student.
  • The honour roll, ready to print.

Families and money: fee collection, receipts, communication

The “School fees” screen shows, item by item, what is due, paid and outstanding, by student and by class. Each payment produces a numbered PDF receipt. The family finds its receipts and balance in its own space, and can share the fees position on WhatsApp through a link that stays valid for 7 days (with no marks and no absences).

By default, an overdue amount that has not been paid withholds the handing over of the paper report card. Marks, averages and ranks, enrolment and the documents for an official exam are never withheld. The head can switch the rule off or release a report card case by case. The family is told in its own space, free of charge.

  • School announcements arrive in each family’s space, with a count of those not yet read.
  • The family sees published results, absences, the timetable, fees and receipts.
  • One account is enough for all the children of a family.

The limits, and where to start

The head decides; the software calculates and proposes. A timetable or a class allocation remains a proposal to adopt. Sahel EDU sends nothing to the authorities and does not replace official exam registration: the school produces lists and files to check, and files them itself.

The site runs in the phone’s browser, with no app from the app stores. Only certain entries, such as the register and marks, are kept when the network drops; the other screens need a connection.

To get started: the school’s structure (year, terms, classes), the staff and their assignments, the students through a guided import from a spreadsheet, then the fees. The SAHEL AVENIR SARL team can also take over your lists under the turnkey digitalisation service, which is paid separately.

Frequently asked questions

Does the head teacher have to do everything in the software?

No. Each person gets a profile limited to their work: a teacher sees only their own classes, a secretary manages records without touching marks. One person can also hold several posts in a single account.

Can it be used in a school with a weak network?

The site runs in the browser of an ordinary Android phone. The register and mark entry are kept on the phone when the network drops, then sent when the connection returns. The other screens need a connection.

When does a parent see a child’s marks?

After the head teacher has published the term. Before that, nothing appears in the family’s space.

Do the school’s data belong to the head teacher?

They belong to the school, which can export them. They are encrypted, kept separate for each school and backed up every hour.

Can we try it before committing?

Yes. The free trial lasts 30 days, with no commitment. The price is then negotiated with each school and can be read on the Pricing page.
