Private school proprietors: following the school from a distance, without being on site

The proprietor or founder of a private school answers for the school without running it day to day. A head is appointed, and the proprietor wants to know, without phoning every evening, whether money comes in and goes out properly, whether students are there and whether results are keeping up. This page shows what Sahel EDU puts in front of the proprietor, what can be confirmed, and what cannot be changed.

Responsible for the school without being in the school

The proprietor has invested in the school, and yet information arrives second-hand: an oral report from the head, a figure mentioned in passing, a cash book shown on a visit. The proprietor wants a direct view, but not a tool that demands entering everything.

  • Knowing what has been collected and spent this month, without waiting for the report.
  • Seeing whether the cash desk balances each day, and by how much it is out when it does not.
  • Knowing the arrears from past years.
  • Following enrolment, attendance and success without questioning every manager.
  • Keeping an eye on discounts and scholarships, which cost the school.

What the proprietor sees: the money, read-only

The “School finances” screen is made for the proprietor. It shows, read-only, what has come in and what has gone out. Payments follow the school’s local time, and a cancelled expense does not count.

  • Collected this month, spent this month and the month’s balance.
  • Arrears from past years.
  • The last six months, month by month.
  • Closed cash desks, with the expected amount, the counted amount and the difference: “balanced” or the gap in figures.
  • Fee collection in detail and the list of unpaid fees, with export.

Checking without touching the cash desk

The proprietor keeps neither the cash desk nor the expenses: it reads what others keep. But actions that touch money leave traces that can be consulted.

For the costliest decisions, a second authorised person confirms above a threshold (dual control): the proprietor is one of them, for scholarships as for credit notes.

  • A cancelled expense keeps its reason and is never erased.
  • A cancelled payment stays on record, and an issued document is corrected by a credit note, not by editing it.
  • “Financial document register”: invoices, receipts, credit notes, numbered without gaps; the proprietor validates a credit note above the threshold.
  • “Scholarships”: the cost of the scholarship and discount programmes, and confirmation of the largest ones.
  • “Log”: the log of the school’s sensitive actions.

Enrolment, attendance and results

The “Management” dashboard gives enrolment, overall average, attendance and success, class by class, and “Overview” shows how far mark entry has progressed and today’s attendance. The results summary shows the success rate, the average, the median and progress against the previous term and against the year before. The honour rankings can also be read, including the network’s.

The proprietor can consult the 360° view of a staff member and the monthly attendance sheet. Marks are not opened student by student.

  • Attendance and the unexcused absences of the last 30 days.
  • The school’s honour rankings: top of the class, progress, consistency, attendance.
  • For a group, one account is enough: accounts are shared across the network and roles are given school by school.

The limits, and how to open a proprietor’s access

The proprietor profile is read-only: it does not enter data, collect payment, edit records or set the school’s settings. What it shows is accurate only if the team enters the data: a payment that is not recorded cannot be seen. No alert reaches the proprietor’s phone; the proprietor looks whenever they wish, from the browser.

To open the access, the head of school creates the proprietor’s account and gives it this profile. The data belong to the school, and the head can export the complete archive. They are encrypted, kept separate for each school and backed up every hour.

Frequently asked questions

Can the proprietor change a figure?

No. The profile is read-only. It confirms only certain decisions, such as a scholarship or a credit note above the dual-control threshold.

Can several schools be followed with one account?

Yes. Accounts are shared across the network and the role is given school by school.

How can I tell whether the cash desk balances?

Under “School finances”, each closed cash desk shows the expected amount, the counted amount and the difference.

Do I have to be connected all the time?

No. You open it when you like, from a browser. Screens need a connection, and the figures are those the team has entered.

Can we try it before committing?

Yes. The free trial lasts 30 days, with no commitment. The price is then negotiated with each school and can be read on the Pricing page.
