Paper register or digital register: four criteria to decide
The paper register is simple and never fails from a power cut or a network outage, but it is counted by hand, tells nobody anything and can be lost. A digital register totals absences on its own and can inform parents, provided it keeps working when the connection drops. This page compares the two on four criteria and gives the questions to ask before leaving paper behind.
What the paper register does well
A register book never breaks down: it needs no battery, no network and no password. Every teacher knows how to use it, it can be checked at a glance and nobody disputes that it exists. For a small school or an isolated class, it is an honest tool.
- No equipment to buy or recharge.
- Usable anywhere, even without electricity.
- Understood by everyone, with no training.
- Visible in the room: the student sees they have been marked.
Where paper wears people out
The difficulties do not come from the paper itself but from everything that has to be done around it: copying, counting, passing on. They multiply with the number of classes and periods.
The most common case is the end-of-month count. To know how many hours a student has missed, someone has to go through several books, add up and check. An absence counted wrongly can then distort a sanction or a report card.
- Absence hours are counted by hand, often late.
- A torn, soaked or lost page cannot be recovered.
- A correction leaves no trace: nobody knows who changed what.
- Parents only hear if they come in or a letter goes out.
- The head only sees the figures after gathering them.
Four criteria for comparing
For each criterion the question is the same: what happens the day there are a hundred absences to count, a complaint from a parent and a network outage all at once?
- Reliability: paper is readable but can be altered without trace; a digital register has to keep who entered what, when, and what was corrected.
- Totalling: paper is counted by hand; a digital register adds up hours by student, by class and by period.
- Informing parents: paper tells nobody; a digital register can show absences and late arrivals in a space the family checks.
- Network outages: paper is not affected; a digital register is only acceptable if it keeps the entry until the connection returns.
Network outages: the real test of digital
A digital register that needs a permanent connection is worse than the register book: the teacher loses time, then copies onto paper. The only version that holds up in real conditions keeps the entry on the device and sends it when the network returns.
Ask to see this mechanism working with the connection cut, not only in a demonstration.

- Does the entry stay on the phone when the network drops?
- Does some proof show that the register was saved when the connection returned?
- What happens to the copy kept on the device, and for how long?
- Can a mistake be corrected, and until when?
Moving to digital without a break
The change goes better with a period of running both, short and announced: the register book stays in class while teachers get used to entering data on their phones. At the end, compare the absence hours from the two sources, and keep paper only if your authority or your rules require it.
Also settle the rules before starting: who may correct a register, for how long, who excuses an absence and on what document.

- Choose two or three pilot classes, then extend.
- Show each teacher, on their own phone, how to enter data.
- Set the correction period and the excuse rules before the first register.
- Compare the hour totals with the register book at the end of the first month.
With Sahel EDU
In Sahel EDU, the teacher takes the register for each session on their phone and receives a confirmation message. The register is kept on the phone when the network drops and is sent on its own when the connection returns. A correction remains possible for a period set by the school, after which only the school life office can make it. Absences are counted in hours, excused or not, and appear on the report card; a day without lessons does not expect a register.
The family sees absences and late arrivals in their online space. Beyond a threshold set by the school, the system proposes a measure, but it is the senior supervisor or the head who decides. The limit to know: a digital register assumes one phone per teacher, and only a few entries, such as the register and marks, are kept without a network.

Frequently asked questions
Is the paper register still needed when going digital?
That depends on what your authority or your internal rules require. Keep paper during a transition period, then check with the authority you answer to before stopping it.
What happens if the teacher’s phone has no network?
In Sahel EDU, the register is kept on the phone and is sent on its own when the connection returns. A copy is kept until proof of saving is received.
Can a register be corrected after it has been sent?
Yes, for a period set by the school; after that, only the school life office can do it. The choice of the period belongs to the school.
Are parents told about absences?
They see them in their online space, with late arrivals and excuses. Families who do not sign in are still reached by the school, as they are today.
Who decides on a sanction for repeated absences?
The system proposes a measure based on the scale in the internal rules; the decision always rests with the senior supervisor or the head.
