The senior supervisor day to day: register, absences, discipline and parents

The senior supervisor (called the discipline master in many Anglophone schools) runs school life: who is present, who is late, who is absent, which offences are committed and what follows. The senior supervisor is also parents’ first contact on these matters. This page starts from that day and shows what Sahel EDU provides, with the rights of the profile and its limits.

A senior supervisor’s day: from the gate to the register

Before the first lesson, the senior supervisor is at the gate: late arrivals, uniform, students without their notebook. Each class must have taken the register, excuse notes have to be collected, summoned parents received and the school rules applied. In the evening, the week’s absences are pieced together.

  • A paper register to copy out in order to know who is absent, and since when.
  • The same students absent or late, without anyone having the total.
  • Excuses received on scraps of paper.
  • Sanctions decided case by case, with no written scale.
  • Parents told only when it is already too late.

The register, lateness and absences

The register is taken for each period of the timetable, on the teacher’s phone. The teacher can correct it during a period that the school sets; after that, only school life staff can. Absences and late arrivals are counted in hours. A public holiday or the school’s day of rest expects no register.

Excusing an absence is done on the spot by default: the family comes to the senior supervisor with its supporting paper. If the head of school opens online excuses, the parent writes the reason from their own space and the senior supervisor decides.

  • “Register”: the register of each period, taken by the teacher and taken over by school life staff after the correction period.
  • “Absences”: the class record, where an absence is excused or an excuse withdrawn.
  • A live signal when a lesson has started and the teacher has not clocked in, if QR Code clock-in is used.
  • Register entry is kept on the phone when the network drops, then sent when the connection returns.

Thresholds, discipline and the disciplinary council

The school rules are written in the software, published in versions, then read and confirmed by parents and students. The absence scale is the one in the rules: when a threshold is reached, “Absence thresholds” proposes the measure, and it is the senior supervisor or the head of school who decides. There is never an automatic sanction.

  • Sanctions: warning, extra work, reprimand, temporary or permanent exclusion, with observations in the student’s record.
  • “Summonses”: the summons to parents and what follows the meeting.
  • The disciplinary council: members, facts, decision and minutes; a permanent exclusion cannot be recorded outside the council.
  • “Alerts”: warnings still running, so that nothing is lost from view.

Families and the protection of the child

“Students at risk” lists the students with unexcused absences or with a low or falling average, together with a log of calls to families: who was reached, when, and what was agreed. Families are told in their online space, free of charge: announcements, summonses to confirm, absences in plain view.

The senior supervisor also reads the student’s health sheet (allergies, emergency contact), read-only and with logged access, and keeps the “Child pick-up” list: the people whom parents have authorised to collect the child. Students’ special needs are sensitive data, which no teacher profile opens.

  • The student’s record and 360° view (success index, progress, discipline), as a PDF or a spreadsheet.
  • The senior supervisor’s report, downloaded with “Confirm and download” to be handed over by the school.
  • The numbered leaving certificate and its register are kept under “Leaving certificate” by the school office, the deputy head or the head of school: the senior supervisor profile does not issue it.

The limits of the profile, and where to start

The senior supervisor neither enters nor validates marks, does not edit records (the school office does) and does not set the school’s settings, such as opening online excuses. The software has no facial recognition and no vehicle tracking. It does not send WhatsApp messages: it only allows sharing by link.

To get started: the school rules and their absence scale, the timetable (the register is taken period by period), then the teachers’ accounts, since they take the register on their phones.

Frequently asked questions

Who decides on a sanction: the software or the senior supervisor?

The senior supervisor or the head of school. The software proposes a measure when a threshold in the rules is reached, never an automatic sanction.

Can a parent excuse an absence from a phone?

Only if the head of school has opened online excuses. Otherwise it is done on the spot with the senior supervisor. Either way, the senior supervisor decides.

Can a student be permanently excluded from within the software?

A permanent exclusion cannot be recorded outside a disciplinary council, whose members, facts, decision and minutes are recorded.

What if the register was entered by mistake?

The teacher can correct it during the period the school has set. After that, only school life staff can.

Can we try it before committing?

Yes. The free trial lasts 30 days, with no commitment. The price is then negotiated with each school and can be read on the Pricing page.
