Student admissions and enrolment, from application to student number, with no retyping
A successful enrolment comes down to a few things: a complete file, a class that fits the child’s age, a correct student number and a clear decision. With Sahel EDU, school admission management software, the school office follows each application step by step, every document has a status, and the student number is issued by the software at enrolment. Online student registration also exists, but it stays closed until the head opens it.
The steps of an admission, from first contact to enrolment
An admission is not an enrolment: the school first receives an application, checks it, decides, and only then enrols the child. Keeping these moments apart avoids classes filling up before the file is examined.
Whatever the tool, the method stays the same and breaks down into simple actions.
- Receive the application: who the child is, which class is requested, who is responsible for them.
- Check that the age fits the level requested.
- Gather the documents in the file and note which ones are missing.
- Check that the child is not already known, in the school or elsewhere.
- Decide and tell the family.
- Enrol the child in a class and issue the student number.
The documents in the file and their status
In a paper file, a missing document is discovered on the first day of term. In Sahel EDU, every document has a status, visible to the school office and to the management.

- The document is photographed with the phone or uploaded as a PDF; the file is encrypted.
- The original can be viewed at any time by authorised staff.
- A document can be marked “later”, with a date: it is reminded in the work queue, on the management dashboard and in the family’s space.
- The file shows at a glance what has been received and what is still to come.
- A birth certificate already recorded for another file is refused, which avoids duplicates.
At the desk: the step-by-step admission assistant
At the school office, an assistant guides the entry in five steps: where the application comes from, the candidate, the guardian, the documents, then a check before confirming. Nothing is retyped from one step to the next.
Several checks run during entry, so that mistakes are fixed at once rather than found at the start of term.

- The child’s age is checked against the class requested.
- A namesake already present in the school network is flagged.
- Places available by class and pending transfer requests appear in the work queue.
- A student already enrolled in another school of the network is not retyped: enter the network student number and date of birth, then request the transfer.
- The documents and the guardian are carried into the file, with no new entry.
- The guardian receives a parent ID, created from an official identity document.
Online enrolment: closed by default, opened by the head
A school’s website can receive online enrolment requests. The feature exists, but it is closed by default: the head decides whether to open it, with a simple switch.
When it is closed, the site offers a contact option instead, with a WhatsApp message already written. In every case, a request enrols nobody: the school examines it like any other admission.

- The request arrives in the same work queue as those from the desk.
- The management keeps the decision to admit or refuse.
- No online payment is asked for at this stage.
- The school can keep the desk as its only entry point.
Enrolment, student number, re-enrolment: what the software does and its limits
When the admission is accepted, enrolment creates the student in a class and issues the student numbers: the school’s and the network’s. The number is never typed by hand, which removes duplicate numbers. A national unique number, where one exists, is recorded but never invented.
At the start of the next school year, each student’s file goes through an annual check, and the forecast of intake helps decide how many classes to open.

- Enrolment in Sahel EDU does not replace the official exam registration, which remains the State’s.
- Lists kept in a spreadsheet can be brought in through the guided import, which checks every line before writing.
- The student ID card is only issued once the file is complete.
- The student’s fees are then handled class by class, according to the school’s fee items.
- Families must supply the documents: the software files and reminds, it does not obtain them on their behalf.
Frequently asked questions
Does an online request enrol the child?
No. It arrives in the admissions queue. The school examines it, decides, and only then enrols the child in a class.
Is online enrolment open for every school?
No. It is closed by default. The head opens it when they wish; otherwise the site offers a contact option.
Can we type the student number ourselves?
No. The number is issued by the software at enrolment, which avoids duplicate numbers.
What happens if a document is missing on admission day?
Mark it “later” with a date. It is reminded in the work queue, on the management dashboard and in the family’s space.
Can we try it before committing?
Yes. The free trial lasts 30 days, with no commitment. The price is then negotiated with each school and can be read on the Pricing page.
