How to prepare a parents’ meeting: agenda, documents, follow-up

A successful parents’ meeting is prepared: a date known in advance, a short agenda, documents ready and a written follow-up. Badly prepared, it turns into a general discussion or a settling of scores. This guide gives a standard agenda, the list of documents to bring, a few rules for running the meeting and how to keep a useful record.

Set the aim and the date

A meeting has one main aim: informing about the start of the year, presenting a term’s results, or dealing with a specific subject such as discipline or fees. Mixing three aims makes the meeting long and tires everyone.

Set the date and time with working parents in mind: late afternoon or at the weekend depending on local habits. Warn them at least a week ahead, in writing, with the agenda. The correspondence book is a good medium, because the parent’s signature shows they were informed.

The standard agenda

An agenda fits on one page. It leaves time for questions, which are the most useful part of the meeting.

  • Welcome and introduction of the team, in five minutes.
  • Reminder of the internal rules: hours, attendance, discipline, dress.
  • Review of the period: results of the whole class, without naming any student.
  • Attendance and punctuality: figures for the class, measures taken.
  • Fees and due dates: what is owed, how to pay, whom to contact.
  • Projects and coming dates: mock exams, tests, holidays.
  • Parents’ questions, then the possible appointment of delegates.

The documents to prepare

Confidentiality decides the form: class results are presented as a whole; a student’s situation, marks or a family’s balance are handed over in person, never displayed.

  • The signed summons and the sign-in sheet, to keep a record of who attended.
  • A summary of the class results: average, distribution, points to improve.
  • The attendance figures: absences and lateness of the class, without names.
  • The report cards or books to hand over, with the place where the parent signs. The book comes back signed by the parent at the start of the next period.
  • For each family concerned, an individual statement of the balance, handed over in person.
  • A model of minutes, which the secretary fills in as the meeting goes on.

Running the meeting

How it is run matters as much as the content. A few rules keep the meeting from going off course.

  • Start on time and announce the planned length.
  • Keep individual cases for private interviews, after the meeting.
  • Give the floor in turn and limit each contribution.
  • Answer questions on the spot, or note the question and commit to a date for the answer.
  • Never compare students in public or name a struggling student.

Follow-up and mistakes to avoid

A meeting without follow-up is soon forgotten. In the days that follow, hand over or send a short report, with the decisions taken, who is responsible and the dates.

  • Write and sign the minutes, then have them read at the next meeting.
  • Make appointments with the families whose situation needs follow-up.
  • Contact the parents who were absent, with the agenda and the decisions.
  • Common mistake: announcing decisions that cannot be kept.
  • Common mistake: dealing with individual cases in front of everyone, or summoning without saying why.

With Sahel EDU

In Sahel EDU, the family sees in its online space the results and report cards after publication, absences, lateness, the timetable, fees, balance and receipts. The head publishes announcements there and sees how many families have read them. The class results summary gives the pass rate, the average, the distribution in bands and the progress, and “My class” helps the form teacher; the system never ranks the weakest.

Students at risk appear with the log of calls to families, and the summons to parents is followed in the discipline file. The fees situation can be shared by a WhatsApp link valid for seven days, with no marks or absences. Marks remain visible to the family, but handing over the paper report card can be withheld if an amount due remains unpaid: this rule is on by default and the head can switch it off.
