Running a school complex: one database, siblings recognised, a report card for each cycle

A school complex brings a nursery, a primary school, a secondary school and sometimes a sixth form under one roof. Each cycle has its own rules, yet families see only one school. Sahel EDU, software for school complexes, keeps a single database of students and parents, recognises brothers and sisters from one cycle to the next, and issues for each cycle the report card that suits it.

A school complex: several cycles under one roof

In Cameroon, nursery and primary schools come under MINEDUB, secondary schools under MINESEC, and the official calendar is published in a joint order. Hours differ from one cycle to the next too: nursery schools, for example, run from 7:30 to 13:30 according to the order for the 2026-2027 year.

For the head, the difficulty is to run a single school without mixing what has to stay separate:

  • A single database of students and parents, where siblings are recognised from one cycle to the next.
  • Fees that differ by cycle, followed item by item.
  • A report card suited to each cycle: a competency booklet on one side, a report card with marks on the other.
  • Staff who sometimes work in several cycles.
  • Several managers (heads of section, deputy head, senior supervisor) who should see only their own scope.

One database: students, parents and siblings

In Sahel EDU, a parent has a single account for all their children. In the same space, they see each child’s published results, absences, timetable, fees and receipts, whether one is in nursery and another in the final year. The student’s record brings together the photo, civil status, parents and history; the student number is issued by the software, never typed by hand.

Brothers and sisters are recognised: the head can grant a sibling discount, which the software offers in one click to those who do not yet have one. The discount is granted with a stated reason, frozen on the day of the agreement and never erased.

A report card for each cycle

In nursery and primary, it is a competency booklet: a level of NA, ECA or A, a mark and a remark, with no rank and no average. In secondary, it is the full Cameroonian report card, with the sequences, ranks in each subject, class statistics, the teacher’s name, absences in hours, distinctions and signatures. Each class follows its own marking scale (out of 5, 10, 20 or 100, in letters or as a GPA), and an average is always shown on the scale of its class.

When the complex has different sections (francophone, anglophone, bilingual, Arabic), each keeps its own marking system and report card, with the same students, the same parents and the same fees. Results are published by the head: until then, families do not see them.

Fees, staff and timetable

Fees are followed item by item, with a payment schedule, numbered receipts and the balance per student and per class. Staff are managed under a single account: one person can hold several posts, and a teacher who works in the lower and upper secondary appears in both timetables with no clash. The timetable is generated, with ten commented proposals, and adopted from an effective date without deleting anything.

Each manager has a role: head, deputy head, senior supervisor, school office, bursar or accountant, head of section, form teacher. A teacher sees only their own classes, and a person’s role is read in the current school only.

One school or a network? The limits and the choice

Depending on how your group is organised, a complex can be set up in two ways: as a single school with several sections, or as several schools attached to a head of network, each with its own opening authorisation, address and data. The choice depends on your authorisations and on who signs the documents; it is settled with the team during the trial.

The official calendar is set only for the 2026-2027 year; later years are entered afterwards. Most screens need a connection: only the register, marks entry and a few forms are kept when the network drops.

Frequently asked questions

Is a school complex one school or several in Sahel EDU?

Both are possible: one school with several sections, or several schools attached to a head of network. The choice is made with the team, according to your opening authorisations.

Are brothers and sisters in different cycles recognised?

Yes. A parent has a single account for all their children, and the head can grant a sibling discount, with a stated reason.

Is the report card the same from nursery to sixth form?

No. Nursery and primary have a competency booklet, with no rank and no average; secondary has the Cameroonian report card, with ranks and averages.

Can Sahel EDU be used outside Cameroon?

Sahel EDU is today designed, validated and usable for schools in Cameroon. In another Central African country, the application already reads in French, English and Arabic and counts in CFA francs, but the country’s official levels, exams, calendars and report cards are set up with our team, school by school, before opening.

Can we try it before committing?

Yes. The free trial lasts 30 days, with no commitment. The price is then negotiated with each school and can be read on the Pricing page.
