Report cards only or full management: when the first is enough, what the second adds

Report card software on its own is enough for a school with a single need: entering marks and printing report cards. Full school management becomes preferable as soon as marks, the register, fees and families pass information to each other, because each piece of data is then entered only once. This page describes what each type of tool does, what separation costs, and how to decide without paying more than necessary.

What stand-alone report card software does

Report card software does few things, and generally does them simply: you create the classes, enter the marks, and it calculates the averages and prints the report cards. It is the most pressing need of many schools, because the report card is the document everyone is waiting for at the end of each period.

  • Quick to learn: few screens, few roles to tell apart.
  • Clear scope: one task to get right, the averages and the report card.
  • Suited to a first step in going digital, when everything else already works well another way.
  • Limit: everything around the report card (students, absences, fees, staff) stays elsewhere.

What full management adds

Full school management, which IT people sometimes call an ERP (an integrated management package), handles everything that touches the school in a single tool. It does not replace the report card: it places it at the centre of a whole.

  • Students and enrolment: record, documents, student number, class.
  • The register and absences, counted in hours.
  • Fees, receipts and unpaid balances.
  • Staff, the timetable and teachers’ attendance.
  • Official documents and cards.
  • The parents’ and students’ spaces, and the head’s dashboard.

What you gain by linking everything

The main gain is not the number of functions but the fact that they share the same data. A student exists once, with a single student number, and every function finds them.

This unity removes re-entry, but above all contradictions: the same student is no longer spelt three different ways, and an absence counts in the same place on the class list, on the report card and with the parents.

  • The report card shows absences in hours without anyone copying them over.
  • The student’s record serves the class list, the card, the report card and the candidate lists.
  • The fee balance is read in the same place by the bursar and by the family.
  • Parents follow results, absences and receipts from a single account.
  • The head sees enrolment, attendance and fee collection without gathering files.

The costs of keeping tools apart

Keeping separate tools is paid for in invisible work: copying the student number into three files, reconciling lists, explaining to each teacher which password goes with which tool. This cost goes unnoticed while the school is small and one person does everything.

It becomes heavy when staff grow, when families ask for accounts or when an inspection asks for figures. Keeping tools apart is still a valid choice when each one is already well maintained and you do not have the capacity to train the team for a change.

  • Re-entry: the same information typed several times.
  • Inconsistencies: two student lists that do not match.
  • Several suppliers, several passwords, several support lines.
  • Management figures rebuilt by hand before every meeting.

When each is enough

Report card software alone is enough if the report card is your only need, the register, fees and staff are already well kept elsewhere, and parents do not need to look at an online account.

Choose full management instead if several of these situations apply to you:

  • You keep marks, the register and fees together, with copying errors.
  • Several people, in different roles, need to reach different data.
  • Families ask for their results, receipts or balance.
  • The school has several sections, or several sites.
  • You want to run the school with accurate, up-to-date figures, without rebuilding them.

With Sahel EDU: starting with the essentials

Sahel EDU is a full management system that you can begin with its marks and report cards: that module is the foundation, and the others are switched on as the school needs them. Teachers enter their marks once from their phones; averages, ranks and the Cameroon report card follow from them. The exact content of each plan is set in the console and can be read on the Pricing page.

Linking fees to the report card has a consequence the head should know: by default, an amount due and unpaid withholds the handing over of the paper report card and its download. The head can switch this rule off. It never touches marks, averages and ranks, nor enrolment, nor the documents of an official exam, and the family is told in their online space.

Frequently asked questions

Is stand-alone report card software enough for a small school?

Yes, if the report card is your only need and the register, fees and students are already well kept elsewhere. As soon as that data contradicts itself from one file to another, full management saves time.

Can I start with report cards and add the rest later?

That is the safest approach. In Sahel EDU, marks and report cards form the foundation; the other modules are switched on later as the school needs them.

Does linking fees to report cards penalise students?

The Sahel EDU rule is on by default and the head can switch it off. It only withholds the handing over of the report card, never the marks, ranks, enrolment or exam documents, and the family is told in their space.

Should I change software if I already have a report card tool?

Not necessarily. Compare the errors and the time lost between your tools. If you switch, import your lists, check the first averages against your old calculations, then retire the old tool.

Does full management cost more than report card software?

Pricing models vary between suppliers. For Sahel EDU, the price is negotiated with each school after the free trial of 30 days and can be read on the Pricing page.
