How much does school management software cost: pricing models and a calculation method
The listed price of school management software says almost nothing about the real cost: everything depends on the pricing model, the number of students, the extras and what is left for you to pay. This page gives no amount, because an amount without a written quote means nothing. It explains the pricing models, the cost items to add up and a method for comparing offers over three years.
The six pricing models
Suppliers do not all charge the same way, and two prices can only be compared once they are brought to the same scope. These are the most common models.
- Per student: a unit price multiplied by enrolment, per month or per year. The cost follows the size of the school.
- A flat fee per school: a fixed price, independent of enrolment. Predictable, but sometimes heavy for a small school.
- Per user: a price for each staff account. It discourages opening accounts for teachers.
- By plan or by module: tiers that open more or fewer functions.
- A licence to acquire: an initial payment, then maintenance and updates charged separately.
- By quote: a price negotiated with each school, according to its size and needs.
Cost items beyond the listed price
The price of the software is only part of the spending. The other items depend on your situation, and each one can exceed the subscription in the first year.

- Installation and setup: classes, subjects, coefficients, periods.
- Moving the data: entering or importing students, staff, fees.
- Staff training, and repeating it with every change of team.
- Support, if it is charged or limited in time.
- Paid extras: storage, additional documents, separate modules.
- Equipment and connection: phones, mobile data, electricity.
- Staff time during the transition, often the least visible item.
Working out the total cost over three years
Always compare over three years, because start-up spending weighs on the first year and any rise in prices shows from the second. The general formula fits on one line: total cost = entry costs + (subscription per period × number of periods) + extras + staff time.
With a per-student price, the yearly subscription is the unit price multiplied by enrolment and by the number of periods billed in the year. Redo the calculation with next year’s enrolment, not only today’s.
- Note the current enrolment and the enrolment expected in three years.
- Ask for a written quote that lists what is included and what is not.
- Add up the entry costs, once only.
- Add up the subscription and extras for each of the three years.
- Add an honest estimate of staff time.
The most common hidden costs
None of these costs is illegitimate in itself. They become a problem when they appear after signing.
- A renewal dearer than the first period, without this being written down.
- A price that rises in steps with enrolment.
- Fees for retrieving your own data if you leave.
- Calendar or grading-scale updates charged separately.
- An indispensable module (documents, parents, payroll) sold separately.
- A price set in a foreign currency, and therefore variable.
Comparing offers without being misled
The only honest comparison is between two offers brought to the same scope: same students, same modules, same years, same services. Otherwise an offer that looks cheaper simply leaves you to pay for what the other includes.
Finally, insist on the exit terms: what happens to your access to the data if you stop paying, and can you export it?

- Compare a cost per student per year, all included.
- Put the indispensable extras into each offer before comparing.
- Test the exit: ask for an export of your data during the trial.
For Sahel EDU: a trial, then a negotiated price
Sahel EDU publishes no amount on this page. Every school gets a free trial of 30 days, with no commitment. Before it ends, we propose a suitable price, confirmed in writing and invoiced separately; a school that does not continue owes nothing. The grid and the plans can be read on the Pricing page.
Our team taking over your records, turnkey digitalisation, is a one-off contribution that shows the school’s commitment (it is not the price of the work); in Cameroon, our team’s travel is covered where needed. If the subscription is not renewed, access moves through a warning, then view-only mode, then suspension, and the head keeps the export of the school’s data.

Frequently asked questions
How much does school management software cost?
It depends on the pricing model, the number of students, the extras and the support. Without a written quote, a price means nothing. For Sahel EDU, the price is negotiated with each school and can be read on the Pricing page.
Is it better to pay per student or a flat fee?
Per student, the cost follows enrolment; with a flat fee it is predictable but sometimes heavy for a small school. Work out both over three years using the enrolment you expect.
What is most often forgotten in the calculation?
Moving the data, training and extras that become indispensable. Staff time during the transition is also a real cost.
Is a subscription always better than a licence?
Not always. A subscription spreads the spending and generally includes updates; a licence is paid up front, with maintenance separate. When calendars and grading scales change, updates weigh in the balance.
Where can I see the Sahel EDU price?
On the Pricing page. The free trial lasts 30 days, with no commitment; the price is then negotiated with each school.
