How to choose school management software: eight criteria and the questions to ask
The best school management software is the one your team will really use, in your real conditions of connection and language, to produce your own documents. This page offers a grid of eight criteria, the questions to put to the supplier in writing and the traps that are discovered too late. It works whichever software you are assessing, ours included, which is presented in the last part with its limits.
Start from your needs, not from the features
Many choices are made on a brilliant demonstration that looks nothing like the school that is buying. Before calling any supplier, write down what you need yourself. One sheet is enough.
Then sort your needs into three levels: essential, useful, later. Good software covers everything essential from the start, and the rest can come in stages.
- Classes and sections: nursery, primary, lower secondary, upper secondary, technical stream, English-speaking or Arabic section.
- The people who will enter data: teachers, school office, bursar, supervisors, and what each must see.
- Essential documents: report card, school attendance certificate, receipts, candidate lists.
- The display and printing languages.
- Real conditions: entry-level phones, slow connection, outages.
Criteria 1 to 4: languages, phone, report cards, rights
The first four criteria decide whether staff will really use the tool. Software packed with features that nobody opens is worth nothing.
- Languages: do the interface, report cards and documents exist in your public’s languages, including right-to-left Arabic if needed?
- Phone: can the tool be picked up on an entry-level phone, with light pages and a slow connection?
- Report cards: does the report card reproduce your practices (sequences, coefficients, ranks, remarks, signatures) or impose its own model?
- Rights: does each role see only what it should, and is a teacher limited to their own classes?
Criteria 5 to 8: data, support, evolution, total cost
The last four criteria decide whether you will still be satisfied in three years. They are harder to see in a demonstration: you have to ask for them in writing.

- Data: who owns it, where is it kept, is it backed up and kept separate, and can you export everything?
- Support: who trains the team, who answers on the day of the class council, in which language and at what time?
- Evolution: does the software follow changes in calendars, scales and rules, and do your requests count?
- Total cost: subscription, installation, training, moving the data, extras sold separately, and what happens if you stop.
Questions to put to the supplier
Ask these questions in writing and keep the answers: they count as commitments. A vague answer is already an answer.
- Can you show me a complete report card for our class, with our own coefficients?
- What does the register do when the network drops, and how long are entries kept?
- Which screens work without a connection, and which need one?
- Who can see the marks before they are published to families?
- How do I get all my data back if I leave, and in what format?
- What is included in the price, and what is paid for separately?
- What happens to my access if the subscription is not renewed?
Traps to avoid
These traps have one thing in common: they are discovered after signing. A trial on your own data reveals them beforehand.

- Judging on a demonstration with made-up data rather than on a trial with your classes.
- Buying a feature announced for later: count only on what exists today.
- Signing a long commitment with no trial period or exit terms.
- Neglecting training: the best application fails if teachers cannot use it.
- Choosing on the starting price without adding up the extras, installation and moving the data.
- Forgetting parents: if they cannot look anything up, you keep the burden of answering every request.
How Sahel EDU answers this grid
Sahel EDU is offered in French, English and right-to-left Arabic. It is used in the browser of an entry-level Android phone, with light pages. It produces the full Cameroon report card (sequences, coefficients, ranks by subject, remarks, signatures) and documents that can be checked with a QR Code when the school’s opening authorisation has been verified. Rights follow roles; the data is encrypted, kept separate for each school, backed up every hour and exportable. The free trial lasts 30 days, then the price is negotiated with each school and can be read on the Pricing page.
The limits: Sahel EDU is today designed, validated and usable for schools in Cameroon; for another CEMAC country, setting up is done with our team. Payments are not collected online: the school records the payment, and the family sees its receipt and balance. The coefficients of the general upper cycle are pre-filled, those of the other cycles are for the head to confirm. Finally, nothing is sent to the State automatically: files for the official platforms are checked and submitted by the school.

Frequently asked questions
What is the most important criterion?
The one that decides whether the team will use the tool: how easy it is to pick up on teachers’ phones, in each person’s language. Good software that nobody uses is worth nothing.
Do I need software designed for my country?
Yes if your official report cards, exams and calendar are already built in. Otherwise you will set them up yourself or with the supplier, and the cost adds up.
How long does it take to judge software?
The time of a real data entry: importing a class, marks from several teachers, one report card compared with your own calculation. The Sahel EDU free trial lasts 30 days.
Can I change software later?
Yes, if you can export your data in a readable format. That is the question to ask before signing.
Does Sahel EDU suit my school?
It is designed for schools in Cameroon, in three languages. Describe your situation: we will tell you frankly what is ready and what remains to be adapted.
